It sets out the basis on why, when and how we collect your personal information during the provision of our services and when we may disclose your personal information to others.

3. What Information We Collect About You
When you visit our website
Use of our website is possible without providing any of your contact information. However, even when using our website for informational purposes only, personal data may still be collected and processed.
Cookies and Tracking

Most web browsers and some mobile operating systems and mobile applications include a Do-Not- Track (‘DNT’) feature or setting you can activate to signal your privacy preference not to have data about your online browsing activities monitored and collected. We do not currently respond to DNT browser signals or any other mechanism that automatically communicates your choice not to be tracked online. If a standard for online tracking is adopted that we must follow in the future, we will inform you about that practice in a revised version of this Privacy Notice.
California law requires us to let you know how we respond to web browser DNT signals. However, since there is currently no industry or legal standard for recognising or honouring DNT signals, we do not respond to them currently.

If you Request a Demo or fill in any contact form on our website, we will collect and store your provided personal data. This is not a requirement to access and use our website. We collect and process:

When you use the ADVANCE®AI SaaS Platform
In order to access and use our SaaS platform, registration is mandatory. We collect and process:
- Identity Data (name, username)
- Contact Information (email, phone number)
- Technical Data (IP address, browser type, operating system, device details)
- Usage Data (how you use our website/services)
- Marketing and Communications Data (preferences, communication history)
Healthcare Professionals (HCPs)
As part of our services to pharmaceutical clients, ADVANCE®AI Tech processes limited personal data relating to Healthcare Professionals (HCPs) to support the analysis of field team interactions. We enable our clients to assess the quality of conversations between their representatives and HCPs by transcribing and analysing these interactions.
In addition to transcript-based analysis, we also apply sentiment analysis to the transcript. Sentiment analysis uses natural language processing techniques to identify whether communication is broadly positive, neutral, or negative. This process does not involve emotion recognition or the inference of personal emotional states but is limited to assessing the overall sentiment of the text transcript. The resulting sentiment score is produced only in aggregate and is used alongside other metrics to assess general call quality and to support the training and development of field teams. No personal data is held or stored once analysis is complete.
Importantly, we do not retain the original call recordings after analysis has been completed. We may retain portions of the transcripts, but personal data and any other identifiers are removed. The data we share with clients is strictly in aggregate form and relates only to engagement quality metrics—not to the content of individual calls. We do not share or disclose identifiable HCP-level information, and our systems are designed to provide insights that support compliance, training, and continuous improvement without compromising the privacy of HCPs.

We only process your personal information when we believe it is necessary and we have a valid legal reason to do so under applicable law, for instance:
- To provide and maintain our services to you (Contractual necessity)
- To communicate with you and respond to inquiries (Legitimate interests)
- To improve our services and website (Legitimate interests)
- To send marketing communications (Consent and legitimate interests)
- To comply with our legal obligations (Legal obligation)
4. Sharing Your Personal Information
We may share your information with or for:
- Subcontractors and service providers (e.g., technical infrastructure, IT, analytics, payment processors)
- Professional advisers (e.g., lawyers, accountants)
- Regulators, legal proceedings and law enforcement (where required)
We will ensure that these recipients comply with data protection laws and use appropriate safeguards.
International Data Transfers
ADVANCE®AI is a global company with operations in the United Kingdom, the United States, and other jurisdictions. In the course of delivering our services, we may transfer personal data to our offices in the US or to trusted third-party service providers located outside the United Kingdom and the European Economic Area (EEA).
Where such transfers occur, we ensure that appropriate safeguards are in place as required by applicable data protection laws. These may include the use of Standard Contractual Clauses (SCCs) approved by the UK or EU, the UK International Data Transfer Agreement (IDTA), or other legally recognised mechanisms. We also ensure that appropriate technical and organisational security measures are implemented to protect the data during transfer and processing.

We will only keep your information for as long as necessary to fulfil the purposes outlined in this Notice unless a longer retention period is required or permitted by law.
When we have no ongoing legitimate business need to process your personal information, we will either delete or anonymise such information.

ADVANCE®AI is committed to protecting the confidentiality, integrity, and availability of your personal information. We apply a combination of technical and organisational safeguards, such as access controls, encryption, and regular security assessments, to help ensure your data is processed securely and responsibly. While no system can guarantee absolute security, we take reasonable and proportionate steps to mitigate risks and prevent unauthorised access or misuse. 7. Data Subject Rights
When it comes to your personal information, you have several Rights available to you.
Right to Access: You have the right to request a copy of the personal information we hold about you, along with details of how and why we process it.
Right to Rectification: If you believe that any personal data we hold about you is inaccurate or incomplete, you can ask us to correct or complete it.

8. California ‘Shine the Light’ Law
California Civil Code Section 1798.83, also known as the ’Shine The Light’ law, permits our users who are California residents to request and obtain from us, once a year and free of charge, information about categories of personal information (if any) we disclosed to third parties for direct marketing purposes and the names and addresses of all third parties with which we shared personal information in the immediately preceding calendar year. If you are a California resident and would like to make such a request, please submit your request in writing to us by using the contact details provided in the ‘Who We Are’ section above.
9. Right to Lodge a Complaint
We encourage you to contact us in the first instance, so we can address any concerns you may have. However, if you are not satisfied with our response, you have the right to lodge a complaint with the relevant supervisory authority in relation to data processing activities.
