ADVANCE®AI AI Policy

Introduction

At ADVANCE®AI, we are committed to providing pharmaceutical companies with data-driven insights into the quality and impact of their interactions with healthcare professionals (HCPs). Our cutting-edge AI-powered solutions empower pharma leaders to ensure that these engagements are meaningful, impactful and aligned with their business goals. As an industry leader in AI-powered solutions for the pharmaceutical sector, we understand the responsibility that comes with using artificial intelligence to analyse sensitive communications and interactions.

This External AI Policy outlines how we develop, deploy and govern AI technologies in our Software-as-a-Service (SaaS) offerings, and how we expect our customers to use our SaaS offerings. It ensures that our Artificial Intelligence (AI) systems are used ethically, responsibly and in full compliance with industry regulations, while delivering real value to our clients in the pharmaceutical sector.

This Policy is designed to support our AI Commitment and Principles.

Purpose

The purpose of this policy is to:

  1. Reinforce our commitment to the responsible and ethical use of AI.
  2. Provide a clear framework for external stakeholders on how we develop, deploy and manage AI technologies.
  3. Ensure that our AI solutions adhere to all applicable industry regulations, standards and ethical guidelines.
  4. Foster trust and transparency with our clients.

Scope of the Policy

This policy applies to all AI systems and technologies developed, deployed, or used by ADVANCE®AI, as well as any third-party AI solutions integrated into our operations or services. This policy also applies to those who use our ADVANCE®AI platform and any other AI service offerings.

Policy Statements

  1. Ethical AI Development and Use
    We are committed to ensuring that all AI solutions used, developed and deployed by ADVANCE®AI are ethical, transparent and aligned with our AI Commitment and Principles. Specifically:
    • Ethical Use of AI
      Our ADVANCE®AI platform is purposefully designed to exclude employee monitoring capabilities, reflecting our stance against such practices. Furthermore, we do not support or use AI applications that may cause harm, exploit vulnerabilities or contribute to unethical outcomes. Our clients have a responsibility not to use the system outside its intended use, particularly usage that falls under unacceptable use within the EU AI Act.
    • Transparency and Accountability
      ADVANCE®AI is able to clearly communicate to clients and stakeholders how our ADVANCE®AI platform works, Additionally, in relation to AI systems deployed and used internally, we utilise Explainable AI (XAI) systems where possible. We take full responsibility for the performance of our ADVANCE®AI platform, provided our clients use the system as intended.
  2. Data Privacy, Security, and Integrity
    We prioritise the security and privacy of our client’s data, in line with applicable regulations. For further information on how we process personal data, please refer to our Privacy Policy.
  3. AI Impact on Healthcare Professional (HCP) Engagements
    The primary goal of our ADVANCE®AI Platform is to enhance the quality of interactions between pharmaceutical companies’ field-based teams and healthcare professionals. AI recommendations must complement and support the decision-making of field teams, without replacing their judgment or disregarding the professional autonomy of healthcare providers.
  4. Continuous Monitoring, Improvement, and Transparency
    We believe in continuously improving our AI systems to better meet the needs of our clients and the healthcare community:
    • Ongoing Monitoring
      We actively monitor AI system performance to ensure that it continues to meet ethical standards, regulatory requirements and client expectations. Any potential issues, whether related to data quality, AI model performance or regulatory compliance, will be addressed promptly.
    • Feedback Loops
      We incorporate feedback from our clients to continually improve the accuracy and relevance of our AI-driven insights. This feedback is integral to refining our models.
    • Transparency with Clients
      We can provide clear reporting on the algorithms and methodologies used to generate insights, ensuring that pharma leaders have confidence in the ADVANCE®AI Platform.
  5. Prohibited Uses
    ADVANCE®AI does not use, develop or deploy AI systems that fall within the EU AI Act’s classification of unacceptable use. Additionally, our clients must not use the ADVANCE®AI platform for any purpose that falls within the EU AI Act’s classification of unacceptable use, specifically to:
    • Evaluate the mood of employees during phone calls.
    • Manipulate behaviour of employees or customers in ways that harm their interests.
    • Monitor employee conversations and/or performance.
    • Make automated decisions that have a legal or similar effect.

Enforcement and Compliance

To uphold this AI Policy, ADVANCE®AI will:

  1. Conduct internal audits and assessments of AI systems to ensure ongoing compliance.
  2. Establish a reporting system for clients and partners to voice concerns regarding AI ethics, privacy or system performance and take corrective action as necessary.

Changes to this policy

We may revise this AI Policy at any time by amending this page. You are expected to check this page from time to time to take notice of any changes we make. Amendments shall automatically come into effect 30 days after notification, unless you notify us that you do not agree to any of the proposed amendments. Some of the provisions contained in this AI Policy may also be superseded by provisions or notices published elsewhere.

Waiver and Severance

Any failure or delay in exercising or enforcing this Policy shall not constitute a waiver of any right or remedy.
