SUMMARY/PURPOSE OF THE POSITION | |||
Provide administration and business development support to the Client Relations leadership team. The EA will assist the team in its business development opportunities, ensuring it provides consistent and timely delivery of core services to current and prospective clients. | |||
KEY ACCOUNTABILITIES | |||
˙Comprehensive calendar management and coordination: Oversee and manage complex calendars for the Client Relations team, scheduling appointments, coordinating meetings, and organizing events and webinars. This includes handling logistics, resolving scheduling conflicts across various time zones, ensuring optimal time management, and proactively communicating with all involved parties to ensure seamless execution of activities. ˙Provide pre and post conference business development support for Client Relations team. ˙Support in the preparation of clients’ proposals and presentations including scheduling, coordination and production of preparatory documentation. ˙Assist in business development activities by ensuring accurate contact information for new business prospects and support the Client Relations team with salesforce.com to ensure all opportunities are updated and progressed. ˙Maintain current client records for the purpose of ongoing marketing efforts. ˙Schedule and participate in all Business Development (BD), Senior Leadership Team (SLT), and Board meetings, recording key actions and decisions. Take responsibility for collating the action items, distributing them to relevant stakeholders, and ensuring timely completion before the next meeting. ˙Manage the planning and execution of team events, including the preparation and distribution of agendas, coordination of accommodations, booking of venues, organizing catering services (food and beverages), and arranging team social activities. ˙Ensure accurate and up-to-date records of all client interactions, including email addresses, communication dates, and corresponding details. This helps maintain a reliable contact database and provides a clear timeline of engagement with each client. ˙Manage the recruitment process by conducting initial interviews for all roles, assessing candidate qualifications, and making recommendations for the second round of interviews with department heads. | |||
